MM recommends having a yearly look at how your incoming receipts are being handled. That’s why the information provided today will be beneficial. Whether your counting team is a well-oiled machine or is just starting off.

First, if at all possible, we recommend looking through all this information before you start your Counting Teams. Especially for any church plants who are learning the basic starting points of financial integrity. If you are a church with a few decades under your belt, we hope you use this information to refresh + reevaluate your policies and procedures.

Agreement Forms

Second, visit our Resources page to find helpful forms and resources. The forms listed below can be modified to fit your organization’s needs and personalized to include your company name and logo.

  • Ministry Description for Offering Counters
  • Offering Team Confidentiality Agreement

The ministry description provides details of the characteristics needed for an offering counter and outlines the duties and expectations. Likewise, the confidentiality agreement goes over specific details that counters should be handling with discretion.

The Count

The Training + Consulting department of Miller Management provides a class on “How to Build an Accountable and Effective Counting Committee and Counting Process.” In that class, we include detailed tips for counting the offering; in this post, will go over a few of the basic ones.

Offering Counting Guidelines:
  • Counters should not be related to any staff member or each other.
  • Have a rotation basis, and not always with the same people.
  • Always work behind a closed door. {Also a good reason to rotate and have multiple counters.}
  • Counters should be chosen based on their gifts and talents, not just on availability.
  • The church should provide training to all volunteers and detailed written instructions should be available in the counting room.

Some of these areas may seem like common sense. And some may seem hard to manage given the size of your ministry. Either way, we can speak to the accountability these precautions provide.

Financial integrity should be an important aspect of ministry. Miller Management’s mission is to help provide that level of security and accountability. To that end, we are providing accounting services – and other resources – to churches and non-profits. Both clients and non-clients alike.

Other resources on Anti-Fraud measures can be found on our Blog and our forms page.
