How a Request Becomes a Check

Now, Let’s Start Our Trip
Let’s start this Summer Road Trip Series off with a basic request, the Check Request.
Check requests for our Level 2 Clients are sent either electronically or in “the bag” depending on client location and contract specifics.
Today, we will be focusing on requesting Accounts Payable checks. Payroll checks are also important, but it’s not the first stop on our trip.
Check Requests – Two Ways
To start the process, your organization fills out a Check Request (yellow) form with the appropriate documentation attached; after the approval process of your organization has occurred. The request and backup documentation are sent to your Miller Management Client Services Representative. The Check Request form is either completed by hand, or by using our fillable PDF, which you can find in the resource section of our website.
Another option is the “red pen” method. This method uses a red pen to circle the necessary information directly on your invoice (payee, amount to be paid, invoice number/bill date). You will also write the general ledger account distribution codes on the invoice. Then you have your request and backup documentation all in one spot. Win-win!

Check Printing – Two Ways
Then through our Accounts Payable system, a check is printed. We send the check with all the submitted documentation back via common carrier, or in “the bag” for our route clients. The normal approval process should occur at your organization before the check is mailed out to the payee.

This is the process for requesting a check. Our team also enters, tracks, and reconciles electronic payments and manual checks. Which is the second way of printing.
At the end of each month, your organization’s assigned Accountant provides you with your Monthly Financial Statement. We will talk more about that later, but our next exit is Payroll Checks. After all, you need some currency for all those road-trip snacks!
